The Challenge

Every three years, the school receives annual check-ins from its school board and program officials. These check-ins require teachers to provide numerous documents. Filling out these forms takes time out of their busy schedules while also taking away their time with students.

The school struggled to find a sustainable and user-friendly solution for its staff members. Unfortunately, the challenge grew in 2020 when Covid-19 forced the school to become virtual. Now, on top of the annual check-ins, staff also had to find a way to conduct virtual teachings—making process transformation essential.

The Solution

Creospark implemented a solution to create an accessible and user-friendly way for teachers to complete their administrative work while also increasing productivity in a virtual environment.

Our goal was to automate the school’s subject-planning process using Microsoft’s Power Platform. We approached this challenge by transforming our clients’ current Excel spreadsheets and creating a canvas app with Dataverse for Teams. The app holds essential questionnaires and lesson plans that staff members must complete. It also allows users to create and send drafts for review and consolidation while tracking progress via a submit status functionality.

To automate some of the processes, we also used business logic to match classes, subjects, and other categories to the answers being entered by the teachers, removing some of the tedious work previously required.

The Results

The organization needed a quick program for a large group of people, and the Power Platform delivered without burning out their IT department.

Transforming their course planning and questionnaire processes onto a digital platform allowed teachers to focus on instructing their students and spend less time on administrative tasks. Within the new virtual environment, end users now have easy access to the information they need and an intuitive way to manage documents
