Flag Obsolete Content
Identify Stale Content Before It Becomes a Governance Risk
Most organizations have thousands of files stored across SharePoint, but very little visibility into which documents are outdated, superseded, abandoned, or no longer providing business value.
The Flag Obsolete Content skill helps organizations identify stale, outdated, and potentially obsolete content across SharePoint document libraries. By analyzing factors such as document age, version history, file characteristics, and orphaned content indicators, the skill highlights content that may be ready for review, archiving, or cleanup.
Importantly, this skill is analysis-only. It does not delete files, move content, modify metadata, or make governance decisions on your behalf. Instead, it generates a structured report that helps content owners and governance teams prioritize remediation efforts with confidence.

Why this matters
As organizations adopt Microsoft 365 Copilot and AI-powered search experiences, content quality becomes increasingly important.
Obsolete, abandoned, and outdated content can reduce trust in search results, create confusion for employees, and increase governance risk. When AI systems have access to stale information, they can surface documents that no longer reflect current business processes or decisions.
The Flag Obsolete Content skill helps organizations gain visibility into aging and low-value content before it becomes a larger governance challenge. By identifying cleanup candidates and providing evidence-based recommendations, organizations can focus remediation efforts where they will have the greatest impact.
The result is a cleaner, more trustworthy information environment that supports better governance, stronger search experiences, and greater confidence in Microsoft 365 Copilot.
